At Seen & Supported, we take your privacy as seriously as we take your support. Because we work with lived experience, we know how important it is that you feel safe knowing where your data goes. This policy explains what is collected, why it’s collected, and how it’s kept safe.

1. What information do we collect? When you use the contact form or book a chat, we collect:

  • Your Name: So we know who we’re talking to.

  • Your Email: So we can reply to your questions.

  • Your Phone Number (Optional): Only if you’ve asked to be contacted via call, WhatsApp or text.

  • Your Message: Any "lived experience" details you choose to share so we can understand how best to support you.

  • Call Data: If we meet via Zoom or Google Meet, we may collect a recording, a written transcript, and an AI-generated summary of our session. This is purely to help us track your progress and ensure you don’t have to worry about taking notes during our time together.

2. How do we use your data? We only use your information to:

  • Communicate with you about your booking or inquiry.

  • Provide the coaching or consultancy services you’ve requested.

  • We never sell your data or share it with third parties for marketing.

3. Where is it stored? Your data is stored securely within our website platform and our password-protected email/calendar systems. We use industry-standard security to make sure it stays private.

Your data is stored across Google Workspace and CoachAccountable. Both are password-protected, professional-grade systems. These tools are used because they provide a secure environment where you can access your notes and progress whenever you need to, without having to dig through your inbox.

Third-Party Tools & AI

To give you the best support and ensure we can be 100% present during our sessions, we use native AI assistants to help with note-taking and summaries.

  • Zoom AI Companion: Zoom's built-in AI to generate summaries of our conversations. Because this is a native feature, there are no extra "bots" joining our call.

  • Google Gemini & Google Meet: For sessions held via Google Meet, we use Gemini (Google’s native AI) to generate transcripts and summaries. Because this is a native feature, there are no extra "bots" joining our calls. Everything is stored securely within our Google Workspace, a professional, password-protected environment designed for data security.

  • Why we use them: As a neurodivergent practitioner, these tools support ultimate focus, entirely on you rather than being distracted by manual note-taking.

  • Your Privacy: These tools have been configured to ensure your data is not used to "train" the AI models. Your information stays within our private Workspace.

  • Your Choice: You are always in control. If you would prefer to turn off the AI features for our call, just let us know at the start of the session. All recordings, transcripts, and summaries are stored in secure, password-protected cloud folders. We regularly review and delete old session data to ensure we’re only keeping what is necessary for your ongoing support.

4. Your Rights (The "You’re in Control" bit) Under UK GDPR, you have the right to:

  • Ask to see exactly what data is held about you.

  • Ask to correct any mistakes.

  • Ask to delete everything we have on you at any time. If you want to do any of the above, just send a quick email to hello@seenandsupported.co.uk and it will be handled immediately.
